Position Vacant – Senior Administration Officer / Executive Support

Little Haven Palliative Care is seeking a dynamic and experienced Senior Administration Officer to serve as Executive Support and oversee the day-to-day operations of our organisation. This is a full-time leadership role suited to someone with advanced business management skills and a deep appreciation for community-driven care.


About the Role

This position is central to the smooth running of Little Haven’s services, supporting strategic initiatives while ensuring operational excellence. You’ll work closely with the CEO, contributing to everything from digital systems and event coordination to grant acquisition and sector advocacy.

Key Responsibilities:

  • Provide high-level administrative support to the CEO, including diary management, correspondence, and meeting coordination
  • Oversee daily operations across reception, communications, and internal systems
  • Manage and maintain digital platforms including Microsoft 365, CRM tools, and AI-integrated workflows
  • Support marketing, graphic design, and community engagement initiatives
  • Coordinate events, workshops, and sector presentations
  • Assist with grant writing, reporting, and funding submissions
  • Liaise with volunteers, stakeholders, and sector partners with professionalism and warmth

About You

You’re a bright, capable professional with a passion for community organisations and a knack for keeping things running smoothly. You bring both strategic insight and practical know-how, and you thrive in environments where compassion and efficiency go hand in hand.

Essential Skills & Experience:

  • Advanced proficiency in business administration and digital systems
  • Strong command of Microsoft 365 (Word, Excel, Outlook, Teams, SharePoint)
  • Experience in marketing, graphic design, and event coordination
  • Excellent written and verbal communication skills
  • Ability to manage competing priorities with grace and precision
  • Familiarity with AI tools and integration (training available)

Desirable (but not essential):

  • Experience in the medical, aged care, or palliative care sectors
  • Background in volunteer coordination or community engagement

Salary & Conditions

This is a full-time position classified under the Social, Community, Home Care and Disability Services Industry Award 2010 (SCHADS Award), with level and pay point commensurate with skills, experience, and responsibilities. As a not-for-profit organisation, salary packaging benefits are available to increase take-home pay.
